AI Voice & Phone-Order Agent

Calls still get answered during the lunch rush, after hours and while your team is out on jobs.

The AI Voice Agent picks up your business line and handles the calls that follow a predictable pattern: orders, bookings, opening hours, prices, “where’s my order?”. It sends the result wherever your team already works. Anything unusual, sensitive or heated goes to a person, with a short summary so the caller doesn’t have to start again. It won’t replace the people who handle difficult calls. It stops them spending the day on the easy ones.

How we build it

01

Discovery

We look at how the work is done today, which systems it touches and where a person must stay involved. You get a written scope and a fixed price.

02

Build and connect

We build the agent, connect it to your tools and data, set its limits and hand-off rules, and test it against real examples from your business.

03

Launch

It goes live on your most common case first. We review real conversations and results with you and adjust.

04

Improve

We monitor it, fix gaps, and add use cases once the first one is clearly working.

FAQ

AI Voice Agent: common questions

Will callers know they’re talking to AI?

They should, and we set it up that way. The agent introduces itself as an automated assistant at the start of the call. In the EU that is now a legal requirement for AI systems that talk directly to people (Article 50 of the AI Act, applying from 2 August 2026), and everywhere it avoids a caller feeling misled later. The voice is natural and responds quickly, so most callers simply get on with their order or booking.

Can it take real orders and payments?

It can take a full order, read it back to the caller and send it to your POS, order system or team. For payment, we usually text the caller a secure payment link or leave payment to your existing process, rather than having card numbers read out on a recorded line. We agree the exact flow with you before anything goes live.

What happens with complex or upset callers?

You decide the triggers: a complaint, a refund request, a medical question, a caller who asks for a person, or anything the agent isn’t sure about. When one comes up, it transfers the call or books a callback and passes on a summary of what was said. Your staff handle the conversation; the agent makes sure it reaches the right person.

What won’t it do?

It won’t make judgement calls you haven’t agreed in advance, quote prices or policies it hasn’t been given, or handle calls where a mistake would be costly, such as clinical advice, disputes or legal matters. It also isn’t built for cold outbound sales calls. In the US, the FCC treats AI-generated voices as “artificial” under the TCPA, which generally means prior written consent is needed before using them for marketing calls. The agent is designed for inbound calls and follow-ups your callers expect.

Do you record calls?

Usually, because recordings and transcripts are how you check the agent’s work and improve it. Recording rules differ by country and, in the US, by state. California, for example, requires the consent of every party to record a confidential call. We set the greeting and disclosure to match where you and your callers are, you decide how long recordings are kept, and your own adviser should approve the wording.

How long does setup take?

A focused voice agent covering your most common call types is typically live within a couple of weeks. We start there, listen to real calls with you, fix what needs fixing, then add more call types.
